Document Class Definition Page

The Document Class Definition page allows you to set up document classes that can be referenced by each document uploaded to the system. Document classes are intended to describe the functional purpose of the document such as instruction manual, product brochure, how-to video, and so on. Document classes also determine how documents will be stored in the system. There are two ways to store documents, 1) store the file itself or 2) store the link only. If you store the file itself, then a copy of the document is uploaded and stored in SQL. Any subsequent changes made to the source document will require someone re-upload the revised document into the library in order for those changes to be seen from the website. This option may be desirable if strict control is required before publishing to the website. If you chose to store the link only, then any changes to the source document will be reflected immediately on the website. The following image shows an example of the Document Class Definition page.

Creating a New Document Class Definition

Perform the following steps to create a new Document Class definition.

  1. Navigate to the Document Class Definition page by selecting Store Management>Document Management>Document Classes
  2. Enter the name for the document class in the Document Class Name field.
  3. Choose one of the following options from the Document Handling Code drop-down menu.
  1. Store File in SQL: Posted Documents will be stored as blobs in the SQL table itself.
  2. Store Link in SQL: Posted documents will upload to a file-based folder and the link to the document. For more information, see the Linking Media Files to Products topic.

Once you declare a Document Handling Code for a Document Class, it cannot be changed.

  1. Select a business unit from the Unit drop-down menu.
  2. Click Save to save your changes.
